CCI Executive Search is a leading recruiter for the not-for-profit sector, with particular expertise in recruiting senior management, operations, fundraising, communications and marketing roles. We provide a bespoke executive search service as well as our own online jobs platform, specifically designed and developed to meet the recruitment needs of the Irish non-profit sector. We have successfully recruited staff for a variety of not-for-profit organisations including the Irish Cancer Society, the Dublin Rape Crisis Centre, Charities Institute Ireland, IPRT, the Abbey Theatre, UNICEF Ireland, ChildVision, and AHEAD. About the Role

This is a fast paced and varied role. As the first point of contact with clients and candidates, the Recruitment Administrator will represent the work, purpose and values of CCI. The person will be focused on providing excellent administrative support to our small and committed team. A typical day will involve managing our database of clients and candidates, working on multiple inboxes, providing information about our roles and services to potential candidates, supporting the writing and formatting of our information packs, creating exciting and interesting social media posts and assisting with financial administration.

This is a hybrid role with a requirement to work three days a week in our office at Mount Street Lower in Dublin.

You will have a good understanding of social media platforms and be confident working on weekly uploads as well as managing website content. You will be versatile and capable of moving in and out of multiple tasks in one day. You will really enjoy interacting with clients and candidates and being a full and participating team member.

Key Tasks:

  • Managing the CCI databases (Trello/e-Tapestry/ MS Outlook)
  • Being the first point of contact for our clients and candidates – answering phones and managing our inboxes
  • Preparing adverts, jobs specifications and job alerts (direct mail)
  • Curating content for our social media channels and websites
  • Publishing all vacancies on the CCI websites and other online platforms
  • Providing monthly financial administration support
  • Researching and recording details of potential clients and maintaining leads, prospect and sales information
  • Carrying out routine maintenance of the organisational database
  • Assisting our sister company Creative Careers with administration
  • Supporting business development through the research of charities as potential clients and assist in development of proposals
  • Attending occasional networking events (some may be out of hours – time off will be given in lieu)
  • Undertaking any other appropriate duties consistent with the aims of CCI and its not-for-profit clients.

Person Specification

Essential Skills

  • Previous experience in an administrative role
  • Previous experience of customer service or client engagement
  • Previous experience entering data into a relational database and using databases to report and share information and communications
  • Confidence in managing and completing tasks to deadlines
  • A positive, confident and friendly approach; happy to adapt to new tasks
  • Excellent verbal and written skills to deliver high quality all-round customer service
  • Excellent attention to detail
  • Working knowledge of social media and online platforms to engage with audiences
  • Competent IT skills in Microsoft Office packages including Word, Excel and Outlook - full training will be provided in our database systems and any other specialist systems.

Desirable Skills

  • Database administration
  • Experience in a membership based or client facing organisation
  • Digital marketing/ social media and content creation experience
  • Competent in producing marketing materials (experience of Canva would be useful)
  • An interest in the not-for-profit and arts sector in Ireland
  • Office financial administration experience.
