Action Aid is now seeing a part- time Executive Assistant (10 hours)


The Executive Assistant will provide important support in delivering Action Aid’s ambitious strategy and achieving their mission. 


The successful candidate will develop and deliver comprehensive organisational, administrative and management support to the CEO and Senior Leadership Team as required. Internally, the Executive Assistant will manage the CEO’s diary and scheduling, support the preparation of Board reports, take minutes and undertake general office management as well as assisting with HR administration. Externally, the successful candidate will engage with contractors, consultants and key partners to maximise value for Action Aid in a highly professional manner.


To succeed in this role, you will have experience in a similar role, you will be highly organised and proactive with strong attention to detail and the ability to keep several projects on track at a time.


General Duties and Responsibilities

  • Provide administrative support to the CEO, Board and wider leadership team by organising meetings, preparing documents, taking minutes, drafting memos, assisting with travel arrangements and monitoring organisational policies and reviews.
  • Coordinate Action Aid’s compliance to various regulatory bodies such as CRO and CRA.
  • Standardise, review and project manage all HR processes including supporting induction, probationary reviews, performance management and exit interviews.
  • Assist with HR administration, including recruitment campaigns, interview scheduling and candidate liaison 
  • Administer all staff records for Annual Leave and Sick leave 
  • Organise the smooth and efficient running of the office, ensuring GDPR compliance and acting as a point of contact for internal stakeholders, staff and visitors.
  • Monitor and oversee annual contracts renewals – e.g., insurance, maintenance contracts, travel insurance, etc.
